How to: Print an Access report to a file.
Solution:
In the Report Design view, select the 'File' menu and select 'Print'. Select the 'Print To File' check box and type a name for the access report.
1) If the Database window is not active, activate the Database window.
2) Click the 'Reports' tab in the Database window.

3) Select the desired report from the list box. (The selected report is highlighted.)
4) Click 'Preview'. (The selected report appears.)
5) Select the 'File' menu and select 'Print...'. (The Print dialog box appears.)
6) Select the 'Print To File' check box in the 'Printer' group.
7) Click 'OK'. (The Print To File dialog box appears.)
8) Type the name for the printed report in the 'File Name' box. (The .prn extension is automatically added.)
9) Select the drive where the new Access Report file is to be stored from the 'Drives' drop-down list.
10) Select the specific folder to store the Access report file in the 'Folders' box.
NOTE: If the report file is to be stored in a subfolder, continue selecting folders until the desired folder is displayed in the 'Folders' window.
11) Type the name for the Access report file in the 'File Name' box.
12) Click 'OK'. (The report prints to the filename in the selected directory.)
